Executive Assistant

Microsoft's AI+R team is seeking an experienced, self-motivated and highly detail oriented Executive Assistant to support the organization's Principal Research & Engineering Manager. This is a fast paced, high performance, impactful team that is accountable for delivering next generation research into Microsoft products and services. This position requires stellar initiative, good judgment, common sense, the ability to maintain confidentiality, set priorities and handle multiple tasks simultaneously.


  • 5+ years of administrative experience or 3+ years in supporting an executive in a fast-paced environment
  • Bachelor's degree or equivalent experience
  • Proficiency with productivity tools including Outlook, Word, Excel, and PowerPoint
  • Excellent organizational, verbal and written communication skills
  • Capable of building effective working relationships inside and outside the team
  • Fast learner who can learn new tools and policies as they go
  • Highly detail oriented and anticipatory
  • Excellent planning and time management skills
  • Exercise sound judgement/decision making, tact, diplomacy, maturity and professionalism in all transactions
  • Able to be firm when needed
  • Able to work independently, deal with ambiguity and change, and problem solve
  • Ability to juggle multiple projects at once
  • Experience booking and managing international travel
  • Sense of urgency and ability to operate well despite compressed time constraints and when under pressure


  • Ensure executive remains focused on items they need to work on
  • Prepare executive's expense reports and other related finance requests
  • Manage email communication for the executive reviewing priority items with them
  • Manage routine personal administrative items for the executive
  • Ensure executive is well prepared for key meetings, ensuring he has read all relevant briefing material prior to meeting 
  • Speaking engagement, product launch and other industry event support including seeking out details for event
  • Respond to critical requests and emails outside core work hours
  • Plan and manage all business travel (flights, hotels, taxi, train, etc.) for the executive including handling all issues that arise out of travel (i.e. missed connections, etc.)
  • Review vacation requests and expense reports submitted by direct reports, following up with executive when necessary
  • Understanding the executive's priorities to request, accept, reschedule and decline meetings as appropriate
